Operations & Finance Associate

The Operations & Finance Associate is integral to the Propel team, playing a vital role in the organization’s efficiency and effectiveness. The four key areas of responsibility are:

  1. Managing the daily operations of the organization, including the investment, political, and grants portfolios; general administrative duties; and Propel’s external communications.
  2. Managing, administering, and reporting on Propel’s finances and budgets.
  3. Overseeing Propel’s Fellowship programs which include our New York City Fellowship with CUNY students, Justice Fellowship, and the Dan Mindich Teacher Project Fellows.
  4. Supporting the CEO through various executive administrative duties, including managing the master calendar, group meetings, drafting memos and emails, and working on special projects as needed.


The job will include a wide range of tasks, large and small. Attention to administrative detail, a high degree of self-motivation, and ability to creatively problem-solve are a must to working with our highly collaborative, fun, and mission-focused team. Experience in impact investing and philanthropy are not required for this position, but we are seeking candidates with curiosity about these sectors, a strong sense of mission, and the ability to see even the smallest tasks as part of the overall impact and success of Propel. Extensive financial experience is not a prerequisite because there will be opportunities to learn the systems and processes in place at Propel, however, an interest in and basic capacity for managing the organization's finances is essential. 


Executive and Administrative Support (10%)

The Operations & Finance Associate will work closely with the CEO to execute key administrative tasks, including:

  • Preparing research and drafting communications on investments, programs, current events, and special projects.
  • Managing the organization’s calendar, including scheduling meetings of various sizes.


 Political and Grants Portfolio Management (20%)

The Operations & Finance Associate will be responsible for managing and tracking the lifecycle of grant inquiries, proposals, and grant funding:

  • Managing correspondence with Propel’s portfolio of grantee partners, track activities, final grant reports, program materials, and meeting notes related to grantee partners.
  • Managing legal compliance through the lifecycle of all political grants, including working with the CEO and outside counsel on all related issues.
  • Providing timely responses to inquiries from grantees, grant seekers, and other partners about grant proposals, reports, meetings, and other matters.
  • Preparing and managing dissemination of reports to outside donors to Propel’s project funds.
  • Maintaining a thorough and orderly system for tracking potential and awarded grant information.


Ventures and Funds Portfolio Management (20%)

The Operations & Finance Associate will be responsible for tracking and supporting the investment portfolio:

  • Managing Propel’s investment and pipeline data tracking processes.
  • Supporting the investment diligence process, including research and preparation of investment memos.
  • With the CEO, preparing annual reporting on the status of Propel’s venture, fund, debt portfolios.
  • Working with the CEO and outside counsel on legal compliance related to investments.


Financial Management (15%)

The Operations & Finance Associate will be responsible for managing, administering, tracking, and reporting on Propel’s budgets. Depending on the skill level of the person hired for this position, some of these responsibilities will be transferred over time from our current financial manager:

  • Managing the operating budget and grants/investment budgets, including tracking expenditures and reporting monthly to the CEO.
  • Managing bookkeeping, preparation of annual financial statements, and all financial accounts.
  • Administering and tracking all transactions, including capital calls, investment returns, and payments.
  • With the CEO, preparing investment return projections for strategy and planning.


Fellowships (15%)

The Operations & Finance Associate will be responsible for overseeing the selection of the Fellows and management of the Fellowships:

  • Managing the New York City Fellowship, a partnership with the City University of New York, including selection, training, and supervising the activities of 2-4 summer Fellows and ongoing management of alumni networks.
  • Coordinating other key partnerships including supporting the work of our close partner – Full Citizens Coalition; and organizing annual gathering of Mindich Teaching Fellows.


Technology (5%)

The Operations & Finance Associate will be responsible for maintaining software and technology services.

  • Overseeing Propel’s file management and tracking in Dropbox and Airtable.
  • Maintaining the website (Squarespace) including updating content as necessary.
  • Managing software, including Microsoft Office, Dropbox, G Suite, Airtable, Dashlane, GoDaddy, and Slack.
  • Troubleshooting technology issues for team members as necessary.


Communications (5%)

The Operations & Finance Associate will be responsible for coordinating Propel’s external communications:

  • Overseeing social media (Twitter, LinkedIn, Medium) by drafting, editing, maintaining a calendar of posting for all platforms and working with Propel’s Program Assistant on monthly reporting.
  • Monitoring social media for activity to be flagged for the CEO.
  • Managing communications vendor contracts, as needed.
  • Coordinating all aspects of publishing of Medium posts.


Office & HR Management (10%)

The Operations & Finance Associate will be responsible for daily operations of Propel:

  • Ensuring accurate internal data management and effective organizational systems.
  • Managing relationship with Blue Ridge Labs where Propel’s office is located, maintaining the office, ordering supplies, and coordinating with external partners for office use as needed.
  • Fulfilling basic requirements for NY State LLC compliance and tax forms.



The successful candidate will be detail-oriented and personable, combining strong interpersonal skills with a love of well-organized systems. Prior experience working in an administrative or operations capacity is required, as is a strong interest in growing these skills, and an interest or desire to learn about impacting investing and philanthropy. Additional requirements:

  • Excellent oral and written communication with a style that builds and maintains relationships.
  • Exceptional organizational skills – able to juggle multiple projects, timelines, and inquiries.
  • Professional demeanor and strong interpersonal skills, with superb judgment.
  • Willingness to solve problems, take initiative, and take ownership of high priority tasks and projects.
  • High level of personal responsibility, integrity, trust, and accountability.
  • Operating style suited to working in a small-office setting where flexibility, sense of humor, and resourcefulness are highly valued.
  • Experience with project management and the Microsoft and Google suite of products.
  • Knowledge of Squarespace and/or QuickBooks (a plus).
